Chart of Accounts: Distribution Intelligence groups the flows of money into and out of your business depending upon the type of transactions they are. In your Chart of Accounts, you tell Distribution Intelligence what accounts you use, what they’re called, the beginning balances, and what types of accounts they are. No data conversion is needed; you can use your existing numbers if you want.
To make things easy for you, Distribution Intelligence includes a number of Charts of Accounts designed to reflect the general requirements of most industries. Choose from Distribution, General Business, Manufacturing, or Service Industries. Simply load the appropriate chart, edit or add accounts, and enter their beginning balances.
Tax Authorities and Tax Groups: Identify the necessary taxes for your business, then combine them into groups to be applied to invoices and other transactions. Tax groups are helpful if you charge different sets of taxes to different groups of people: local customers and out of state customers, for example.
Accounting Preferences: Distribution Intelligence allows you to customize your accounting periods (monthly, quarterly, etc), which accounts will hold bank charges and interest earned on bank accounts, and the dates that will be used for posting transactions.
Sales Preferences: Customize how Distribution Intelligence handles the selling side of your business. You can specify aging periods for invoices and set up finance charges and Posting Account Defaults. Posting Account Defaults cover the revenue account for invoices and sales memos, the cost association with the sale that takes place (Cost of Sales), inventory account, non-stock sales account, accounts receivable, sales returns, and freight income account.
Item Categories: This form allows you to create groupings for your Inventory Items. You can include as many categories as you wish.
Purchase Preferences: Customize how Distribution Intelligence handles purchasing tasks. You can specify aging periods for purchase orders, set Posting Account Defaults, and set selection criteria by ItemID, Selected Vendor, or Vendor PN.
Shipping Methods/Payment Terms/Payment Methods: Use the defaults or select descriptions of customer and vendor transactions.
Credit Cards Used: If your business uses credit cards, you can enter the credit card name, card number, GL account, etc. that you want to use for credit card transactions.
Vendor Card: Allows you to track demographic and financial information for your vendors.
Employees: If you’re using the payroll module, then you can track employee information and sales commissions.
Customers: Enter customer information, choose invoicing and contact preferences, indicate discounts, tax group, credit limit, payment terms, and link the customer to the appropriate salesperson for commission purposes.
